About the job

The regional executive of Documentation SOP is responsible for developing standard operating procedures (SOPs), work instruction, templates, forms, and placards for sea freight project in collaboration with all Sea Freight product Subject Matter Experts. The documentation specialist is responsible for tracking each update through the approval and implementation of each document to meet its timeline utilizing a spreadsheet. The Documentation SOP Specialist provides support to site SMEs/document owners on the change order process. Demonstrates problem-solving techniques, cross-training, and trainer for new employees. 

Specifically, you will:

  • SOPs: Lead the creation and update of standard operating procedures (SOPs) for Sea Freight projects. This involves collaborating with subject matter experts (SMEs) across different Seafreight products to gather insights and ensure the SOPs are accurate an
  • Work Instructions: Develop detailed work instructions that provide step-by-step guidance for performing specific tasks within the Seafreight workflow. These instructions should be clear, concise, and easy to follow for any staff member.
  • Templates & Forms: Design and implement standardized templates and forms for various Seafreight-related documents, such as invoices, packing lists, and bills of lading. These templates should streamline document creation and improve consistency.
  • Placards: Create and maintain visual aids like placards for specific procedures or safety protocols in Seafreight operations. These placards should be readily visible and easy to understand for all personnel.
  • Version Control: Track and manage different versions of all SOPs, work instructions, templates, and forms to ensure everyone is using the latest approved version.
  • Approval Process: Facilitate the approval process for new or updated documents, ensuring proper review and sign-off by relevant stakeholders.
  • Implementation Timeline: Monitor the implementation of approved documents and ensure they are rolled out effectively within established timelines. Utilize a spreadsheet or other tracking tool to stay organized.
  • Change Order Process: Provide guidance and support to site SMEs and document owners on the process for making changes to existing documents. This may involve creating change orders, documenting justifications, and obtaining necessary approvals.
  • Problem-Solving Techniques: Use problem-solving skills to identify and address any issues or inconsistencies within the documentation or related processes.
  • Cross-Training and Training: Share your knowledge and expertise with colleagues through cross-training programs and by training new employees on SOPs, work instructions, and other relevant documentation.

About you

We will help you be successful in this role. To start you will need:

  • 5+ years of Freight Forwarding and Sea Freight experience and 3+ years of supervisory or management experience
  • High Level Leadership Skills (communication, motivation, and interpersonal skills)
  • Strong change management capabilities
  • Experience with Seafreight SOPs, Policies & Procedures preferred
  • Expertise in System Design, Continuous Improvement, Project Management, Operations, Process Design, Modelling and Simulation, Insights & Analytics
  • Excellent organizational skills
  • Ability to work under tight timelines & competing demands, prioritize tasks, manage deadlines, and work independently
  • Familiarity with document management systems and relevant regulatory requirements for Sea freight operations
  • Proficiency in Microsoft Office; Microsoft Excel (advanced skills); Microsoft Visio
